Timecard edits for Housing employees

Learn how to redistribute a number of hours from the Housing pay code to paid hours.


This article applies to housing employees and their supervisors.


Housing employees hare a special pay code in PioneerTime to account for their housing allowance. This pay code applies to 12 hours per pay period. The non-benefited pay code indicates all hours worked beyond the 12 housing hours, and overtime 1.5 reflects hours over 12 hours per day OR 40 hours per week (per employee NOT position). 


Housing Supervisor Checklist


When reviewing timecards for housing employees, supervisors should keep the following in mind:

  • Are Missed Punches resolved?
  • Do you have a transfer set assigned to every line in the timecard?
  • Are all the shifts that are charged to your job BOLD in the timecard?
  • In the timecard totals, is Housing zero or a positive number? Note: this should not be negative.
  • Do the Totals look correct?


Redistributing an entire shift FROM the Housing pay code:


1. Add a Work Rule transfer of "Non-benefited" to the Transfer column.


2. Choose "Search" in the drop-down of the timecard Transfer field of the shift where you want to assign a Work Rule Transfer. 


3. Choose the "Work Rule" tab and then select "Non-benefited" from the list. 



4. Click "Apply" to save the changes.



Redistributing a specific number of hours FROM the Housing Pay Code:


When redistributing a specific number of hours FROM the housing pay code, it is recommended to make an edit for each week so that it does not affect weekly overtime hours. 



1. Add a "Housing" Pay Code edit for negative hours. 


2. On the same day, add a "Non-benefited Hourly" Pay Code edit for the same number of positive hours.


3. Comments can be added by right clicking on the Amount field.



4. Enter a transfer set for every line in the timecard where hours have been entered to ensure time is charged to the correct position.
