Employees with Both a Benefited and Non-Benefited Job

Learn how to work with timecards for employees who hold both a benefited and a non-benefited position. 


This article applies only to rare situations where employees who hold two positions, one of which is benefited and the other which is non-benefited (and their supervisors). 


OVERTIME

Employees who work in both a benefited and a non-benefited job tend to work more than 40 hours per week, thereby qualifying for overtime pay.


In most cases, it is most appropriate to ensure that the overtime hours are charged to the non-benefited position rather than to the benefited position. Overtime pay is granted as it is earned. Meaning that the moment an employee exceeds 40 hours, overtime will be charged to the position they are working in. In order to override this and avoid having the benefited position charged for overtime, follow the procedure below.


1. Rather than clocking in/out for the non-benefited position, enter the hours worked for the non-benefited position at the end of the week after having worked all scheduled hours for the benefited position. In the example below, the employee worked their benefited job Monday-Friday. They put in the non-benefited hours on Saturday (even though they may have worked those hours earlier in the week). This caused the hours to be appropriately charged to the non-benefited position.



EDITING TRANSFER STRINGS

If hours were charged to the wrong account, employees can change the account by editing the punch and selecting the correct account from the dropdown menu. Note that there are some benefited employees who may not be able to edit their timecard due to security restrictions. In this situation, supervisors will need to make the edits.


1. Follow the instructions in Non-Exempt Timecard Management (For Supervisors) to open the employee's timecard. Verify that you are in the correct pay period. 


2. Click in the transfer column for the row of the shift being edited, then click Search...




3. In the Transfer pop-up window, fill in all available fields as follows:


  • Division: select the - - - dashes
  • Responsibility: select the - - - dashes 
  • Department: select the  - - - dashes 
  • Position: select the correct position number for the shift worked
  • Supervisor: select the - - - dashes 
  • EmployeeID: select the employee's DU ID
  • Open7: select the - - -  dashes 

    When finished, click Apply




4. The transfer set will now appear in the Transfer column. Note: this transfer set can now be copied and applied to other shifts on the employee's timecard. If this transfer is entered for a different employee, PioneerTime will populate an error. 






WORKING IN MULTIPLE POSITIONS ON THE SAME DAY

Employees who are working multiple shifts on the same day for different jobs should have different Out/In times like the highlighted times in the example below (there should be no purple punches which means the OUT/IN times are the same).
